Process Owner - Travel and Expense Management

We are seeking for an experienced and detail-oriented colleague to take charge of our corporate travel program and expense management system. This role will be pivotal in ensuring seamless travel arrangements, compliance with company policies, and efficient administration of SAP Concur system across our global operations.

 

Your role:

 

  • Travel Process Management:
    • Act as the point of contact for corporate travel program and expense management system
    • Develop, implement, and maintain travel policies, ensuring alignment with company objectives and compliance with legal regulations.
    • Cooperate and manage external suppliers such as hotels, banks, airlines, etc ensuring cost-effectiveness and efficiency.
    • Monitor travel trends and expenses to optimize travel policies and negotiate with travel vendors for better rates and services.

 

  • Concur System ownership and administration:
    • Oversee the Concur expense management system, ensuring it meets the needs of the organization and its users.
    • Deliver training and on-going support to employees on the Concur system, addressing any issues and ensuring compliance with company policies.
    • Analyse travel and expense data to provide insights and recommendations for cost savings and process improvements.

 

  • Collaboration & Compliance:
    • Partner with the finance team to ensure accurate and timely processing of travel expenses.
    • Collaborate with HR, Finance, Safety and Legal departments to ensure compliance with international travel regulations and company policies.
    • Act as a liaison with IT, travel vendors and service providers to resolve any issues and ensure high-quality service.
  • Reporting & Analytics:
    • Generate and analyse reports on travel expenses, compliance, and system usage.
    • Provide insights and recommendations to senior management on travel cost-saving opportunities and process improvements.
    • Monitor and report on key performance indicators (KPIs) related to travel and expense management.

 

 

Qualifications:

 

  • Bachelor’s degree in Finance, Business Administration, or a related field.
  • Experience in an international company (at least 3 years);
  • Proficiency with SAP, preferably Concur module;
  • Knowledge of T&E policies, procedures, and systems would be considered as a huge benefit;
  • Proven track record of process optimization and change management;
  • Excellent English skills;
  • Strong communication and interpersonal skills, with the ability to train and support employees at all levels.
  • Ability to take decisions and manage multiple projects as well as priorities in a fast-paced environment.
  • Systematic and detail-oriented personality with a focus on compliance and accuracy

Salary range: 3580 - 4920 eur. gross. Final offer depends on candidate's competences and experience.
